This is completely normal for air freight and happens constantly with light/bulky cargo. The concept is called volumetric weight (also called dimensional weight or dim weight).
The IATA standard formula for air freight:
Volumetric weight (kg) = Total volume in cm³ ÷ 6,000
Or equivalently: CBM × 167 = volumetric weight in kg
Working backwards from your example:
If your chargeable weight is 420 kg and actual weight is 180 kg, then the airline used 420 kg volumetric weight (since it's higher).
420 kg ÷ 167 = 2.515 CBM total volume
So your LED panels occupy about 2.5 CBM — that's roughly the size of a large wardrobe. LED panels are typically low-density cargo: large flat boxes that are mostly air inside the packaging.
Can you contest this? Only if the airline's measurement of your dimensions is wrong. The airline (or cargo handling agent) physically measures and weighs the shipment at origin. If you have your own packing list showing dimensions and can prove the total volume is less than 2.515 CBM, you can raise a dispute with the airline.
How to reduce future charges:
- Optimise packaging: reduce box size where possible without compromising protection
- Use compression packaging for soft goods
- For LED panels specifically, stack multiple panels per box rather than one panel per box
- Consider whether surface courier (like DHL Express) might calculate volumetric weight differently — they use 5,000 as the divisor, which is even more aggressive
For light cargo like LED panels, electronics, and plastics, volumetric weight almost always exceeds actual weight. Budget for it when comparing air freight vs sea freight.
